RULES FOR PREPARATION AND SUBMISSION OF ABSTRACTS
1. Authors need not be ASE members to participate.
2. Abstract submission is free of charge. However, any expenses (e.g., registration, airfare, lodging) associated with the submission and presentation of an abstract are the responsibility of the presenter.
3. Abstract Submission and Editing:
- Follow all instructions for completing the online submission.
- Submission Deadline: abstracts must be submitted by 5:00 pm CST on Monday, January 7, 2008. The ASE is not responsible for work that is not submitted by this deadline date. No new abstracts may be added to the submission system after this deadline.
- Editing Deadline: authors have until 5:00 pm CST on Monday, January 7, 2008 to edit their submission. Proofread abstracts carefully to avoid errors. Additions or deletions of author names are not permitted after the editing deadline. An author may not revise or resubmit an abstract in order to make corrections after the editing deadline; rather, the abstract may be withdrawn or, if accepted, the error may be indicated during the presentation.
- Submissions with incomplete status after 5:00 pm CST on Monday, January 7, 2008 will not be considered for presentation.
- Submission of an abstract constitutes a commitment by the author(s) to present it if accepted. Failure to present and register for the meeting, if not justified, will jeopardize future acceptance of abstracts for the American Society of Echocardiography.
4. Abstract Review:
- Submitted abstracts are peer-reviewed by a panel of graders. Abstract grading is blinded and selections are based on scientific merit.
5. Author Name(s):
- There is no limit to the number of abstracts an author may submit. If selected, the presenter must be one of the co-authors listed.
- An author may present no more than two abstracts. If more than two submissions are accepted from an author, one of the co-authors must present any additional abstracts.
- If an author’s name appears on more than one abstract, it must be identical on each abstract. Whenever possible, do not list authors with initials only.
6. Abstract Data:
- Authors should not submit the same research; abstracts that appear to be replicate versions of a single study will be rejected.
- Abstracts containing identical or nearly identical data submitted from the same institution and/or individuals will be rejected.
7. Abstract Text:
- Abstracts are limited to 2,250 characters. This includes the text plus any graphic/table, but not the title or authors. Punctuation counts as a character, but spaces do not. The online submission site will automatically calculate an abstract’s characters and will notify the author if the submission exceeds the maximum character limit.
- The use of tables and graphics are encouraged if they are relevant to the research submitted, but please note that accepted abstracts are reproduced in print at 4 abstracts per page, so any large graphics/tables may become illegible when resized for publication.
- Addition of a table deducts 250 characters no matter how many characters the table itself contains; addition of a graphic also deducts 250 characters. Please be mindful that tables and graphics, if the quality submitted is poor, will appear badly in print and electronic versions. The online submission site supports both gif and jpg graphic formats.
- Content should be structured into Background, Methods, Results, and Conclusion sections.
- Use a maximum of five unique abbreviations in the body of the abstract. No abbreviations should appear in the title. Place abbreviations in parentheses after the full word or phrase the first time it appears. Abbreviations increase the difficulty of reading and evaluating abstracts, which will be considered in the review process.
- Clarity of expression will be considered in the review process. The overall quality of language used should assure comprehension by the reader.
- Do not include references, credits or grant support in the abstract text.
- Do not include the names or personal information of any patient participating in the study or trial in the abstract text.
- Proofread abstracts carefully to avoid errors. ASE is not authorized to make changes to a submission, including typographical errors. If accepted, the abstract will be published in print and electronic versions exactly as submitted.
8. 2008 Arthur E. Weyman Young Investigator’s Award Competition Manuscript
- Manuscripts are limited to 1,500 characters and may include text only; any graphics/tables should be included in the original abstract. The online submission site will automatically calculate the manuscript’s characters and will notify the author if the submission exceeds the maximum character limit.
9. Eligibility:
- Abstracts are not eligible for consideration if the paper has been presented at a U.S. national or international meeting held in North America before the 19th Annual ASE Scientific Sessions.
- Abstracts are not eligible for consideration if the manuscript of the abstract has been published before the 19th Annual ASE Scientific Sessions.
- Any human experimentation must conform with the principles of the Declaration of Helsinki of the World Medical Association (Clinical Research 1992 Dec;40(4):653-60).
- The ASE endorses the position of the American Association for the Advancement for Science in requiring assurances of the responsible use of animals in research. All submissions for consideration must be in compliance with the guidelines. (American Association for the Advancement of Science. Resolution on Use of Animals in Research, Testing, and Education. Adopted by the AAAS Board and Council, February 19, 1990.)
10. Presentation:
- The 2008 ASE Abstract Chair will determine presentation time and format for all accepted work, based on the topic and relationship to others submitted.
- Accepted abstracts will be scheduled as either a twelve minute oral presentation (seven minute presentation with a maximum of five slides, followed by a five minute question and answer period) or a one day poster presentation. Abstract presentations will be held in the Exhibit and Poster Hall on the days that the hall is open – Sunday, June 8; Monday, June 9; or Tuesday, June 10.
- Finalists in the 2008 Arthur E. Weyman Young Investigator’s Award competition will be scheduled for a ten minute oral presentation, followed by a five minute question and answer period, on Tuesday, June 10. Presenters are allowed as many or as few slides as they wish, provided that they do not exceed the ten minute time limit. During the question and answer period, they are allowed up to two backup slides. Finalists will also present their abstract in a specially designated area of the Exhibit and Poster Hall, and their poster will be displayed all three days that the hall is open – Sunday, June 8, Monday, June 9 and Tuesday, June 10.
- All presentations and question-and-answer periods will be in English. If presenters need assistance in understanding or responding to questions in English, they are encouraged to have a member of their research group assist them.
- Each presenting author is required to comply with the ASE "Disclosure of Faculty Relationships Policy" and is expected to disclose to the audience any real or apparent conflict(s) of interest that may have a direct bearing on the subject matter of the continuing medical education activity. This pertains to relationships with pharmaceutical companies, biomedical device manufacturers, or other corporations whose products or services are related to the subject matter of the presentation topic.
- Oral and poster presenters will be asked to make disclosure of any financial interest/arrangement or affiliation with any organizations that could be perceived as a real or apparent conflict of interest in the context of their presentation subject matter. Disclosure information will be published in the ASE Final Program. To be in compliance with this policy, oral presenters should disclose at the beginning of the presentation. Poster presenters should include disclosure information on their posted presentation materials.
- Any additional or revised guidelines for abstract presentation will be provided to authors of accepted abstracts on February 22, 2008.
11. Copyright:
- The submitter acts on behalf of all co-authors and in submitting an abstract, transfers to the American Society of Echocardiography (ASE) the copyright and all other rights in the material comprising the abstract if the abstract is accepted. Co-authors reserve the following:
- All proprietary rights other than copyright, such as patent rights;
- The right to use all or part of the abstract in future works of their own.
- The ASE, as holder of the copyright on the accepted abstract, reserves all rights of reproduction, distribution, performance, display, and the right to create derivative works in both print and digital formats.
12. Disclosure:
In light of increased attention to the manner is which research results (particularly those affecting the stock of publicly-traded companies) are made public, ASE is clarifying its policies and procedures regarding disclosure of abstracts. All abstracts submitted are disclosed to members of the peer review selection committee, as well as to ASE employees and contractors as necessary in connection with the annual meeting. Those abstracts that are accepted for presentation are published and are available to the public in advance of the annual meeting. The usual procedures for publishing abstracts are described above under "Publication." Abstracts not accepted for presentation are not published, and are ordinarily not disclosed outside of ASE and persons associated with the selection process (i.e., the peer review committee). Notwithstanding these policies and procedures, ASE is not subject to any confidentiality requirements with respect to submitted abstracts. In addition, compliance with any disclosure or nondisclosure requirements that apply to researchers or research sponsors (whether under federal securities laws, contract agreement, or otherwise) is the sole responsibility of the researcher and/or sponsor, and not the ASE.
