Why were the ASE 2020 Scientific Sessions cancelled?
After much deliberation the ASE Executive Committee decided on Tuesday, March 31, 2020, that cancelling the ASE 2020 Scientific Sessions scheduled for June 19-22, 2020, in Denver, CO, was in the best interest for everyone involved.
The conference is being reformatted into the ASE 2020: Virtual Experience to take place on August 8-10, 2020 as a live broadcast of significant portions of the originally planned Scientific Sessions content. The format will be different, but the educational and scientific content will be just as exciting as if we were all together in person.
The three-day live broadcast will include 44 hours of CME. There will be something from all eleven original session tracks offered during the live broadcast. We are incorporating technological facets to allow the audience to virtually interact with live chat rooms during the three-day broadcast, some live question and answer sessions, polling, and more! We are also working on exciting details to the program such as networking with exhibitors in a virtual exhibit hall and showcasing new research in the field with abstract poster presentations
I was invited to be on faculty to present my work at ASE 2020. Should I continue to prepare my presentation?
We encourage faculty presenters to continue preparing their talks for their invited lectures, oral abstract presentations, etc. because ASE will be utilizing the presentations in the Virtual Experience. Faculty will be contacted by the Scientific Sessions staff with details
I was invited to present my abstract at ASE 2020, how will this decision affect my presentation?
Abstract presentations are among the components that the Program Committee is currently discussing within their plan to deliver the 2020 program. Presenters will be contacted by Kat Lyons in the coming weeks when concrete information is available concerning a revised presentation schedule. Accepted abstracts will be published in the June issue of JASE. If you have further questions please email firstname.lastname@example.org.
Will I receive a refund for my 2020 submission fee?
The $30 abstract submission fee covers the administrative and online costs for the abstract submission platform, and as such is nonrefundable. ASE is publishing the accepted original science abstracts as scheduled in the June issue of JASE. The Scientific Sessions Program Committee is also working hard on alternative options for presenting the ASE 2020 educational content and abstract presentations will be included within that program.
Will I receive a refund for my paid registration?
All the registration fees you paid will be refunded in full, including Bundled Packages, Workshops, Learning Labs, and WRMSD Summit registrations. Any donations made to the ASE Foundation or membership renewal fees paid when registering for the conference will not be refunded. We kindly ask for your patience during this time and allow up to 30 days for these refunds to be processed. If you do not notice the refund after 30 days, please contact Registrar@ASEcho.org.
When can I expect my registration refund?
We are processing registration refunds as quickly as possible. We hope to have refunds done by May 15. If you do not receive a refund by May 30, please contact us at Registrar@ASEcho.org.
Will I be refunded hotel reservations?
All reservations made through the ASE room block will be cancelled automatically by the hotel. You will not incur any additional fees for cancelling your reservation.
If you used an alternate booking site, such as Orbitz, Hotels.com, or AAA, you will need to reach out directly and cancel your reservations. ASE is not responsible for cancellation fees imposed by these alternate booking sites.
When can I expect my Gaylord Rockies hotel reservation refund?
For hotel deposit refunds, please allow the Gaylord Rockies until April 12 to complete all cancellations and issue refunds. Cancellation receipts will be emailed to the email address used to reservation the room. Please note that these receipts often reroute into spam and junk folders. If you do not receive a confirmation on your hotel cancellation and refund, please contact our Gaylord representative, Dennis Johnston at Dennis.Johnston@gaylordhotels.com.
Will I be refunded for travel expenses already purchased?
ASE is not able to assist with reimbursement for personal travel expenses. Please contact the airlines or travel partners directly for cancellation and refund options.
Will Exhibitors and Sponsors be refunded?
We are in the process of working out options for our Exhibitors and Sponsors that have already purchased booth space and/or sponsorships in June. As soon as we have that information we will be in touch. Thank you for your patience.
